Privacy notice

This notice explains what OccMed.Space stores, why it is needed and what control you have over it. The platform is designed for anonymised educational material, not identifiable patient, worker or employer information.

Important before uploading a portfolio

Remove names, dates of birth, GMC numbers, addresses, employer names and any other detail that could identify a patient, worker or organisation. Do not upload identifiable clinical or employment information about another person.

The original PDF or DOCX file is parsed for text and is not retained as a stored binary file. Extracted text is stored so saved feedback can be reopened without another AI request or credit charge.

Who is responsible for your information

OccMed.Space is the data controller for information collected through this platform. For privacy questions, access requests or deletion requests, email support@occmed.space.

What we collect

  • Account information. Your email address, authentication records and account status.
  • Portfolio review information. Extracted text from an anonymised document, selected sections, generated feedback and follow up conversations.
  • Learning information. MCQ answers, topic results, learning objectives and practice history used to show progress and choose appropriate bank questions.
  • Usage and technical information. Credit events, model and token usage, estimated AI cost, request identifiers, security events and diagnostic logs.
  • Optional feedback. Usefulness ratings, product feedback, preparation outcomes and testimonial permission where you choose to provide them.

Why we use it

We use personal data to:

  • create and secure your account;
  • provide the applications, save your work and apply credits;
  • return saved feedback without regenerating it;
  • prevent duplicate charging, misuse and unauthorised access;
  • diagnose failures and maintain reliable cost records;
  • understand whether the products are useful and improve them; and
  • contact you about your account or a request you have made.

The main lawful basis is performance of the service you request. We also rely on legitimate interests for security, reliability, product improvement and proportionate business records. Where a use depends on permission, such as publishing a testimonial or adding you to marketing, we rely on your consent and you can withdraw it.

AI processing

Portfolio review requests are sent to the configured commercial AI provider. The live Portfolio Reviewer currently uses the Anthropic API. Anthropic states that commercial API inputs and outputs are not used for model training by default and are normally deleted from its systems within 30 days, subject to its terms, safety controls and legal obligations.

Optional web search may send a limited search query to the provider when you request it or when an administrator has enabled automatic search for that operation. Search results remain subject to the same platform safeguards.

AI feedback is formative educational guidance. It does not make a legal or similarly significant decision about you, provide an official Faculty assessment or determine whether you pass an exam.

Suppliers and international processing

We use specialist suppliers to operate the service, including Supabase for authentication and database services, Vercel for hosting and Anthropic for the live Portfolio Reviewer. These suppliers may process data outside the United Kingdom. We use their contractual data protection terms and applicable transfer safeguards.

We do not sell personal data. We may disclose limited information where required by law, to protect users or the service, or as part of professional advice and business administration under appropriate confidentiality obligations.

How long information is kept

  • Portfolio reviews and conversations. The current platform setting is 365 days from the most recent update. The expiry moves forward when the review is updated. You can delete a saved review sooner.
  • MCQ history and account data. Kept while your account is active, unless you delete the relevant saved data or ask for account deletion.
  • Usage, security and deletion records. Kept for as long as reasonably needed for accounting, fraud prevention, security and audit purposes. Deletion audit records do not retain portfolio content.

Your choices and rights

You can view and delete saved reviews from the platform. You may also ask for access, correction, deletion, restriction, portability or an explanation of how your information is used. Some rights depend on the lawful basis and may be limited where information must be kept for legal, security or accounting reasons.

You can object to processing based on legitimate interests. You can withdraw consent for optional marketing or testimonial use at any time by emailing support.

Please contact OccMed.Space first so the issue can be investigated. You also have the right to complain to the UK Information Commissioner’s Office.

Changes to this notice

This notice will be updated when processing, suppliers or retention settings materially change. The date at the top shows the current version.
